Our Unique Event Designer Process


I. Design Development Process:


Exclusive Vivid Expressions Event Design Process:

  • Completed Client Mood Boardfor easy reference​​

  • 90 minute - "Design Session", conducted in-studio or remotely:

    • Personal “Design Style” Review

    • Pinterest Board/design preferences review and analysis

    • Review concept, theme, and design element preference 

    • Color theory & color harmony review

    • Flowers & foliage selections 

    • Review other elements such as swatches, textures, etc.

    • Spatial needs review and layout suggestions

    • Table-scape options and development

    • Review focal points, room enhancements, etc.

    • Discover solutions to maximize and manage design budget



We present clients with custom concept illustrations detailing their event designs for their approval including:

  • Personal flower designs; bouquets, boutonnieres, corsages, accessories, etc.

  • Ceremony site design; alter area design elements, aisle design elements, etc.

  • Table-scape design(s); centerpiece design(s), linen selections, place settings, etc.

  • Room design overview; room view detailing table layout, designs, focal points, lighting tones, etc.  (*Note: Designs presented via emailed video or in-studio)



Layouts which may include; tables, dance floor, bars, stations, etc.

  • 2-D reception room layout

  • 3-D reception room snapshot

II. Design Planning & Management:


This is the design pre-design production process where we develop your comprehensive custom design plan by coordinating the following:

  • Manage event floral design & decor budget 

  • Research/source design elements for specific design selections

  • Design engineering - formulate everything needed to fabricate designs

  • Site walk-through and design supplier meeting(s)

  • In-house design product inventory Reserve and catalog for your event

  • Coordinate "Design product orders & shipping schedules" 

  • Coordinate "Design fabrication & production schedule"

  • Custom-made "Design Guide" Our unique (8 to 15 page) document created for each client's event that outline your Event Design Plan including:

    • Participating design related vendors

    • Assigned design team information

    • Delivery schedules and installation timelines

    • Design installation information

    • Concept drawings (depicting design details)

    • Room diagrams (furniture placement, table numbers, etc.)

    • Design product quantities (number of bouquets to centerpieces)

    • Breakdown process outline


In addition to our own in-house floral design & decor elements, your Designer may coordinate Design Related Vendors & product contracts needed to execute the design for your event.  Your Designer may manage Design Related Vendors including: 

  • Specialty linens & napkins

  • Exquisite chargers & napkins rings

  • Specialty lighting

  • Furniture & props


III. Design Fabrication:


  • Flowers are especially selected and curated for each client's event

(Flowers are especially ordered, received, cleaned and maintained for each event)

  • Bespoke floral design fabrication  

(ex: Custom designed personal flowers, ceremony, reception, focal points, etc.)

  • Design Details Accents are acquired, reserved, and/or created to dress the look

(example: Candles, Table numbers, etc.)

  • Décor Items & Studio Rental may be specifically reserved for each event (ex: Card boxes, backdrops/draping, props/structures if ordered, Signage if ordered, etc.)

  • Client’s Personal Items may be collected by Vivid Expressions approx. 1 week prior (ex: toasting glasses, cake knife set, cake topper, client purchased favors, etc.) 

  • Curated Florals & Decor; organize, storage, and prepare design products for event

(Pull, organize, and pack products for event and load-in)

  • Design Related Vendors Collaborations:

    • In addition to any floral designs, this would also any custom design products that may be created such room décor, design details, accents, decorative elements, backdrops, draping, lighting, etc.

    • Design Guide Document are creation and distribution which include:

      • Event Design production Itinerary

      • Participating Design Related Vendors

      • Images of concept artwork

      • Room Layouts with instructions (centerpiece, table numbers, etc.)

      • Inventory (design products) outline

      • Logistics and set-up plans with instructions.



IV. "Day of" Design Production:


includes a team of

  • Lead Designer

  • 2 to 8 Event design team members


Designer and Design Production Team will orchestrate at event site(s):

  • Loading

  • Delivery

  • Design Installation(s) of Vivid Expressions products

  • Confirming & collaborate design installation with other design vendors

  • Venue Styling - setting up and detailing of designs (detail accents on personal items such as toasting glasses, tabletops, display, memorial table pictures, etc.) 


The designer will confirm and coordinate with “Design Related Vendors” on logistics for a flawless day of design execution including; 

  • Venue/Caterer (regarding set-up logistics)

  • Baker (dessert presentation design collaboration and set-up)

  • Rentals (ex: Linens, Glass/flatware, etc.)

  • Specialty Furniture rentals 

  • Specialty equipment & decor (ex: stages, draping, etc.)

  • Design items even if not provided by Vivid Expressions (ex: lighting, favors, signage, etc.) ​​​​


V. Design Post-Production:

Post-production of design products:

After the event, our design post-production process will take care of the "post event work" so clients never have to worry about handling loose ends... they just relax and savoring their unforgettable experience:

  • Designer and design production team will return to the venue after the event for break-down and remove decor of Vivid Expressions provided floral designs & decor.

  • Manage or coordinate returns of rental items secure through Vivid Expressions.

  • Cleaning and re-stocking of Vivid Expressions vases, decor, props, etc.​​​​

  • De-installation and *disposal of used products such as wire, and floral perishable items, melted candles, etc. 

*Note: This may include possibly re-hydrating, re-arranging, and donating flowers to local children's hospitals, women's shelters, retirement homes, etc.)
